Vendor Participation

There is no vendor fee for this event. The event is ticketed, and a portion of ticket proceeds will benefit the Adalyn Rose Foundation.

Vendors are responsible for their own products, equipment, displays, sales, payment processing, licenses, taxes, and other business-related requirements.

Vendors agree to follow event guidelines provided by Hazel in Bloom and to leave their space clean at the conclusion of the event.

Supporting Bereaved Families

Because this event is held in honor of Pregnancy & Infant Loss Awareness Month, we would love to invite participating businesses to consider offering a small gift, discount, special item, or other gesture of kindness to bereaved families attending the event. This also gets them engaged in your booth and can incentivize sales depending on your offering.

Parents and siblings of loss will have a different color wrist band than extended family or friends attending in support. You can choose to extend your offering to everyone at the event or use the colored wrist bands to identify the bereaved families that are there to remember their babies.

This is completely optional and is not required for vendor participation.

Raffle Sponsorship Opportunity

Vendors are also invited to participate as raffle sponsors by donating a product, gift card, service, or other item valued at approximately $15–$20 or more.

Raffle proceeds will benefit the Adalyn Rose Foundation. Raffle sponsors will receive additional recognition through event-related marketing and social media, providing an additional opportunity for their business to be featured before and during the event.

Raffle participation is completely optional.

Marketing Permission

By submitting this agreement, vendors give Hazel in Bloom permission to use their business name, logo, submitted photographs, and business description for promotional purposes related to Remember & Bloom and Hazel in Bloom.

Vendors are encouraged to share and promote the event with their own customers and followers.

Weather & Rescheduling

This a rain or shine event. Vendors located inside our greenhouses will be protected from inclement weather, and those setting up outside are encouraged to bring a 10’x10’ tent to set up under. Because of the nature of U pick and flowers, this event needs to happen before the first frost.

As such, if severe weather prevents the event from taking place, Hazel in Bloom will make reasonable efforts to reschedule the event for a designated rain date. This may be a week night (from 4-8pm) shortly following October 9th, as our venue is fully booked on the weekends for the month of October.

Liability

Vendors are responsible for their own products, equipment, inventory, displays, and personal belongings. Hazel in Bloom and the event venue are not responsible for loss, theft, damage, or injury involving a vendor’s property or participation, except where liability cannot legally be excluded.
